Issued documents
The Issued documents entry of the menu (Customers section) gathers every PDF the garage produced, whatever the work order: quotes, invoices, credit notes and signed workshop documents. The most recent come first, in pages of 25.
What is listed
Section titled “What is listed”- Quotes: every issued version (v2, v3… shows from the second version on), counter or workshop, and signed repair estimates.
- Invoices and credit notes, workshop and counter.
- Signed workshop documents: reception form, repair order, return form.
- Other: pro forma invoices, payment receipts and account statements, generated when they are sent.
- Imported history: the invoices, credit notes, quotes and repair orders imported from the garage’s previous software when it moved to Mekaplus (see below).
Not listed: unsigned workshop prints (they are regenerated on demand from the work order), invoice duplicates (same PDF as the original), invoices entered in another software while built-in invoicing is off and files you simply uploaded (Photos and documents).
Search and filter
Section titled “Search and filter”The search applies as you type. Type one or several words: each must be found in the document number (F-2026-00012, or R-, OR-, RS- followed by the work order number), the customer name, the plate or the vehicle make and model. For an imported document, the search also covers the customer name and the vehicle identification as printed on the original document.
The Filters menu restricts the list to a group of documents (All, Quotes, Invoices, Workshop documents or Other) and adds:
| Filter | Effect |
|---|---|
| Period (From, To) | On the issue date, in the garage’s time zone. With no period, every document is listed. |
| Type | One exact type: quote, estimate, reception form, repair order, return form, invoice, credit note, pro forma, payment receipt, account statement. |
| Status | Current, Superseded (a newer quote version, or a signed document replaced by a new version) or Credited (an invoice with at least one credit note). |
| Origin | Mekaplus (documents produced by Mekaplus) or Imported history (those of the previous software). Offered when the garage has imported documents. |
Filters apply on every choice, show as removable chips under the bar and stay in the page address (bookmark it); applying a filter goes back to the first page.
Open a document
Section titled “Open a document”Click anywhere on a row (or press Enter on it): the PDF opens in a new tab. Each row shows the document (with its number and its status when it is no longer current), its date, the customer, the vehicle, the work order and the gross amount of invoices, credit notes and quotes. The No. 1234 link opens the work order; a counter sale shows Counter. On a phone, each document is a card.
The customer and vehicle shown are today’s. For an anonymized customer the row reads Anonymized customer, with no vehicle, and can no longer be found by name; the document number stays searchable and the PDF stays as it was issued (legal retention). A counter sale without a customer record reads Walk-in customer.
Imported history
Section titled “Imported history”If your garage comes from another software, its old documents are in the same list, at their date, mixed with the Mekaplus documents: a search for “Martin” or a plate finds the old and the new together. Each imported document carries a history icon and the tag Imported history · GEIMSTAR (the name of the previous software). Groups and types are the same: an imported invoice is under Invoices, an imported repair order under Workshop documents.
Click an imported document to open its read-only sheet (date, customer, vehicle, lines, totals, payments): it says the document comes from the previous software and is not a Mekaplus document. There is no PDF: the document is rebuilt from the imported figures.
Imported documents stay outside totals, reports and the fiscal register: no figure on the page adds their amounts to the Mekaplus ones. The paid amount shows only when the previous software linked payments document by document; otherwise the row says Balance not tracked, never an amount left to pay. The list shows them even when built-in invoicing is off.
Who sees what
Section titled “Who sees what”The page is open to people who can view work orders and customers (like the invoice and quote PDFs). Signed or sent documents (estimates, workshop documents, pro formas, receipts, statements) also require the right to view documents: without it, those types and the Workshop documents and Other groups are not offered. Imported documents show with the rights to read work orders and customers alone.
