Customers and vehicles

The Customers and vehicles page (Management section of the menu) answers questions such as “am I gaining customers?”, “where do they come from?”, “do they come back?” or “which makes come to the workshop most?”.

The page appears for people with the View clients permission (among the built-in roles: Administrator, Reception, Technician, Accountant). The blocks shown then depend on what the person can see otherwise:

  • the numbers of customers (new customers, sources, active customers, return rate): always;
  • the best customers, with their sales: only with the View the Sales and payments report permission (see Sales and payments);
  • the vehicles by make: only with the View vehicles and View work orders permissions.

A hidden block is not computed: a short sentence in its place says what is missing.

The Week, Month, Year and Custom period buttons, the arrows and Back to today work as in Sales and payments. Days are those of the garage’s time zone, and the chosen period stays in the page address.

A customer is a customer record, except the Counter customer and the records merged into another one: the invoices of a merged record count for the record it joined. A customer is invoiced on a day when an invoice or a deposit invoice addressed to them is issued that day (a credit note does not count), or when an invoice reference typed on one of their work orders (invoicing in another software) bears that date.

  • New customers: the records created in the period, compared with the same period one year earlier (N-1). A customer anonymized since is still counted: a number holds no personal data.
  • Active customers over 12 months: the customers invoiced at least once in the twelve months ending today, whatever the period chosen.
  • Return rate: among the customers invoiced in the twelve months just before the start of the period, the share of those invoiced again in the period. For example, for October 2026: customers invoiced from 1 October 2025 to 30 September 2026 and again in October 2026, divided by the customers invoiced from 1 October 2025 to 30 September 2026. The page recalls the formula and both numbers under the rate.

The table shows the answer to “How did you hear about us?” on the record of the period’s new customers (sources are set in Client sources). Not given groups the records without a source, including those whose source was erased by anonymization. A source archived since is still shown, marked “archived”.

The table counts the distinct vehicles of the work orders opened in the period, except work orders still only planned or cancelled: a vehicle that came three times counts once. The make is that of the vehicle’s model (reference list or garage model), ignoring case. The fifteen most frequent makes are listed; the others are grouped on the Other makes row, and vehicles without a model on the Make not given row.

The list gives the twenty customers with the highest sales excluding VAT in the period, with their number of invoices. The amount is the one of the Sales and payments report: invoices issued in the period, net of credit notes, deposits counted when their deposit invoice is issued. Clicking a name opens the customer’s record. The Counter customer and anonymized customers are not listed.

  • Sales of new customers and the average basket per customer are not computed.
  • Vehicles are not broken down by model.
  • The page cannot be exported to CSV.
