Invoicing

The Invoicing screen (Settings › Invoicing and compliance › Invoicing, Manage settings permission) decides whether invoices are issued in Mekaplus. It holds the Invoicing block, which is read first and edited with Edit.

Issue invoices in Mekaplus turns on built-in invoicing: “Invoice” issues the numbered invoice (F-YYYY-NNNNN) and its PDF, a credit note cancels it. Unticked, you enter the number of an invoice made in your invoicing software. The printed due date follows the invoice’s payment term. The invoice footer terms (free text) are edited in Settings › Document templates. Legal form, share capital, register, NAF code and IBAN come from the Legal notices block (Garage identity screen) and the Bank details block: turning it on is refused while required notices are missing (the Incomplete legal notices alert of the Legal notices block lists them). See Invoicing.

While invoicing is off and required legal notices are missing, the block shows the Incomplete legal notices alert, in read and edit mode. It lists what is missing (“Missing to invoice: …”). The Issue invoices in Mekaplus box stays greyed out until they are complete.

  • With the Manage garage information permission, the Complete legal notices link opens Settings › Garage identity › Legal notices.
  • Without it, the alert reads: “A member who manages garage information must complete them in Settings › Garage identity.”
  • If an activation is still refused, the error message carries a Complete legal notices button leading to the same place.

A real garage issues no invoice or credit note until the Mekaplus operator has activated its invoicing: French anti-VAT-fraud law requires the software to be covered, for your garage, by an individual publisher’s attestation or an NF525 certificate. Until then, the Invoicing block shows Activation reserved to the operator, the Issue invoices in Mekaplus box stays greyed out and the work order does not offer Invoice. You keep entering the invoices made in your invoicing software. Ask the operator for activation; it cannot be withdrawn and it is logged.

A demo garage (training, trial) invoices without activation: the “Demo garage” label, right below the logo of the menu, says so on every screen, and every invoice, credit note or Z report carries Demo garage — document has no value. A demo garage never becomes a real garage once it has issued a document. Its emails really go out, but always to its members, never to customers: see Sends › Demo garage.

Under the Invoicing block, the Screens that depend on this setting list says what changes depending on whether it is on, with a link to each screen:

  • Counter: counter sales only exist with built-in invoicing. When it is off, the screen says so and points to Settings › Invoicing.
  • Intervention page: the Invoice block issues the invoice (pro forma, Finish and invoice, partial credit note); when off, you only enter the number of an invoice made elsewhere.
  • Documents: only invoices issued by Mekaplus are listed.
  • Client statement: invoices entered by hand do not appear in the client’s account.

On each of these screens, the notice carries the Open Settings › Invoicing link for members with the Manage settings permission; others read that they should ask an administrator.
