Client messages

The Client messages screen (Settings > Client messages, Manage settings permission) decides whether Mekaplus sends emails to your clients. It sits in the Sales and documents theme of the Settings hub.

The boxes are saved immediately, with a save indicator at the top of the screen: there is no Save button.

Send emails to clients is ticked by default. It covers everything Mekaplus sends to your clients: quotes, workshop documents, invoices, credit notes, proformas, receipts, account statements, reminders, signature links, “vehicle ready”, appointment confirmations and reminders.

Unticking it asks for confirmation: Turn off sending messages to clients? Scheduled reminders will be cancelled.

Once it is off:

  • nothing is sent: the server refuses any send, even from an old tab left open;
  • the send buttons disappear (Send to client, Resend, Remind, Send a signature link). A menu that would be empty is not shown;
  • scheduled messages are cancelled (pending confirmations and reminders), with the reason shown in the sent messages;
  • the PDFs of quotes, invoices and workshop documents stay printable and downloadable;
  • signing happens on site only, on the workshop screen: the remote signature link is no longer offered (Cancel the link stays available for a link already sent);
  • the appointment dialog says the client will not be notified.

Turning the switch back on does not re-send anything: cancelled messages do not go out again.

Team notifications (quote accepted online, AI budget alert) are not client messages: they do not change.

  • Appointment confirmation: sent when the appointment is created, and again if it is moved.
  • Reminder the day before the appointment: sent the day before at 6 pm.

Both go to clients who accept emails, between 9 am and 8 pm (garage time). Unticked, a box stops that email, including for appointments already booked; a confirmation can then no longer be sent again. The boxes are greyed out, with their reason, while the general switch is off. Details in Client notifications.

The email signature is set in Settings > Preferences.

Some messages can go by SMS (sender “MEKAPLUS”, sent through Brevo) as well as by email: the signature request (signature link), vehicle ready, the appointment confirmation and the reminder the day before. Documents (quotes, invoices, credit notes, receipts, account statements, workshop documents) always go by email.

For each message, choose the allowed channels (Email, SMS or both) and the default channel. Settings at launch, with both channels allowed:

Message Default channel
Signature request Email
Vehicle ready SMS
Appointment confirmation Email
Reminder the day before SMS

The block also shows the month’s SMS usage (segments used out of segments included), see SMS quota. The general switch Send emails to clients also stops SMS.

When no SMS is included in your garage’s plan, the SMS box cannot be ticked for a message that does not allow it yet, and the default channel cannot be SMS. An SMS choice already saved stays shown with the label not in plan. A notice under the block explains it: a message planned by SMS goes by e-mail when the client has an address, otherwise it is not sent. The number of SMS included comes with the plan; contact Mekaplus to add some.

Automatic messages (confirmation, reminder) follow this grid: the default channel, otherwise the other allowed channel if the client cannot receive the default one (no mobile, no address, no consent). In the send dialogs, the default channel is preselected (Sent messages).
