Workshop and productivity
The Workshop and productivity page (Management section of the menu) tells how the workshop runs: how many hours it sells against the hours technicians clock, what labour costs and earns, how long a vehicle stays at the garage, what holds it up and whether promised exits are kept. It also holds the time detail that used to open from the Work orders list (Time statistics): old links and bookmarks lead straight to it.
Who sees the page
Section titled “Who sees the page”The page opens with one of these rights: View time spent by all workers, Manage everyone’s time or View work orders. Each block then depends on what the person may see:
- Hours and Time detail: the Time tracking feature turned on (Settings › Features, see Features) and the right to view or manage everyone’s time;
- labour cost (and cost per technician): the Manage everyone’s time right, never during a support session;
- labour sales in euros, and so the margin: the View the Sales and payments report right (the margin also needs the cost);
- Workshop flow (lead times, waits, phases, delays): the View work orders right.
A hidden block is not computed; a short sentence says what is missing.
Choosing the period
Section titled “Choosing the period”As on the Sales and payments page: Week, Month (default), Year or Custom period (two years at most), the arrows for the previous or next period. All days are in the garage’s time zone, and the period stays in the page address.
- Hours sold: the hours of the labour lines of the invoices issued in the period, credit notes deducted; flat rates are not included, even when they contain labour. It is the same rule as the average hourly rate of the Sales and payments page.
- Hours clocked: the stopped times of the period (work day), on every work order; a running timer is not counted.
- Efficiency: hours sold ÷ hours clocked. Above 100%, the workshop invoices more hours than it spends (a generous labour guide, a fast technician); below, it spends more than it invoices (unbilled time, diagnosis, rework). It is the same ratio as the Efficiency tile of the dashboard.
- Productivity: hours clocked ÷ hours present. Mekaplus does not record technicians’ attendance yet: the tile shows “—”.
The table gives, per technician, hours sold, hours clocked, efficiency and, with the Manage everyone’s time right, cost. The hours sold of an invoiced line are split pro rata to the minutes each technician clocked on that line (the same rule as the time detail); a line nobody clocked on, or a counter sale, stays Not assigned and counts in the total.
Hours sold count on the invoice day, hours clocked on the work day: a vehicle worked on at the end of a month and invoiced the next lowers one month’s efficiency and raises the next one’s. Read it over several months.
Labour
Section titled “Labour”- Labour sales excl. VAT: the amount excluding VAT of the same labour lines (discounts included, credit notes deducted).
- Labour cost: clocked minutes × the technician’s hourly cost, else the hourly cost of the line’s activity. When an hourly cost is missing, the cost shows “—”: fill it in on the worker’s or the activity’s record.
- Labour margin: sales excl. VAT − cost. The two bases do not fall on the same day (invoice on one side, work on the other): it is an order of magnitude, not an accounting result.
Workshop flow
Section titled “Workshop flow”The block counts the files out in the period: moved to Done (or straight to Delivered) for the first time on a day of the period, and still done or delivered today.
- Average lead time: from entry (the first move to Received, or to a later phase when reception was skipped) to exit, with the median (half the files leave faster), less sensitive to a file that stayed for weeks. In hours under a day, in days beyond.
- Average parts wait: for the files out that had a Part on order flag (see Flags), the average time such a flag was open (two flags at the same time count once), and the share of their lead time it represents.
- On-time exits: among the files out that had a promised exit, the share that left no later than promised, with the number of late exits.
- Late files: today, the open files whose promised exit has passed, like the dashboard tile; it opens the Work orders list filtered on Waiting on › Late.
- Files by phase: today, the number of files Planned, Received, In progress and Done (not delivered yet).
Time detail
Section titled “Time detail”Below the blocks, the Time detail holds the former time statistics, for the chosen period (366 days at most: beyond, choose a shorter period). Filter by worker and, if you can view the catalogue, by activity. The screen shows:
- the figures: time spent, time sold, gap (spent minus sold), sold / spent ratio and, with the Manage everyone’s time right, the internal cost;
- the details, one row per work order, line and day: number (link to the record, with the right to view work orders), day, line worked on (“No line” for diagnostic time), workers, pro rata sold time, spent time, gap and, with the same right, internal cost.
That sold time is the sold time of the lines worked on, invoiced or not: it does not compare with the hours sold of the Hours block, which only count invoiced labour. Beyond 5,000 entries, the screen warns that it only shows the first ones: shorten the period or filter by worker.
Export to CSV
Section titled “Export to CSV”The ⋮ menu at the top of the page, Export to CSV, downloads the time detail of the chosen period and filters: the same rows and columns, with the same rights as the screen (no cost column without Manage everyone’s time), followed by a total row. Each duration appears twice: in hours and minutes (“1:48”) and in decimal hours (“1.80”), ; separator. A period with more than 5,000 entries cannot be exported: shorten it. An export filtered on one worker serves as a statement of that person’s time.
All these readings change nothing; sales only read issued invoices and credit notes.
